Refund Policy
All course purchases are final. Poem Pilates Ltd operates a strict no-refund policy once payment has been made. Please ensure you have read all course details carefully before enrolling.

Course Enrolment & Conduct
By enrolling on a Poem Pilates course, you agree to participate respectfully and professionally. Learners are expected to complete all course requirements, assessments, and communication in an honest and fair manner. Any evidence of plagiarism, misconduct, or falsification may result in removal from the course without refund.

Equality, Diversity & Inclusion
Poem Pilates Ltd is committed to creating a learning environment that celebrates individuality and ensures equal opportunities for all. Discrimination, harassment, or unfair treatment of any kind will not be tolerated.

Health & Safety
All learners are responsible for ensuring they work safely when performing physical activity, whether in-person or online. Please ensure you have adequate space, proper equipment, and medical clearance before participating in any movement or assessment activities.

Safeguarding
Poem Pilates Ltd is committed to providing a safe and supportive learning environment. Safeguarding concerns will be taken seriously and handled in line with best practice and UK legislation. All courses are designed for learners aged 18 and over.

Video Assessments & Online Learning
Assessments may be submitted via video in accordance with the course requirements. Videos must be original, unedited, and clearly show all required movements and instructions. All submissions remain confidential and are stored securely for assessment and quality assurance purposes.

Distance & Blended Learning
Courses are delivered online with tutor support through scheduled check-ins, progress reviews, and feedback sessions. Learners are expected to engage with course materials, attend arranged sessions, and complete assessments by agreed deadlines.

Internal Quality Assurance (IQA)
All learner work and assessments are reviewed by qualified assessors and internal quality assurers to maintain consistency and fairness across all learners.

Conflict of Interest
Poem Pilates Ltd maintains impartiality in all teaching and assessment activities. Any potential conflicts of interest (for example, assessing a family member) must be declared and will be reviewed by the IQA.

Complaints & Appeals
If you wish to raise a concern or appeal an assessment decision, please contact cian@poempilates.co.uk in the first instance. We will review all cases fairly and in line with our internal policies.

Privacy & Data Protection
Your personal information is kept secure and used only for course delivery, assessment, and certification purposes. We comply with the Data Protection Act 2018 and UK GDPR. Information will never be shared with third parties without consent, except where legally required.

Poem Pilates Ltd, its instructors, and assessors are not responsible for any injury, loss, or damage that may occur during participation. Learners are advised to consult a healthcare professional before undertaking any physical activity and to work within their own limits at all times.
